How to send documents for signature from Zapier

Two Zaps: one sends the document, one acts on the signed PDF.

    Add signature tags to your template

    In your Google Docs or Word rental agreement, type {{esign.signature_1}} where the tenant signs and {{esign.date_1}} for the date. Add {{tenant_email}} and {{application_id}}.

    Choose who signs

    Turn on Signing in the automation. Take the tenant's email from the {{tenant_email}} placeholder, or set a fixed address.

    Start a Catch Hook Zap

    In Zapier, start a second Zap with Webhooks by Zapier and the Catch Hook trigger. Copy the hook URL.

  4. 4

    Send the signed PDF to the hook

    In the automation's After signing settings, turn on Send to webhook and paste the hook URL. Drive, Dropbox and email work too.

  5. 5

    Add Create Document to your Zap

    In the Zap that receives the application, add the DocsAutomator Create Document action. Map the form fields to the placeholders, the email and the application ID included.

  6. 6

    Signed, and the second Zap runs

    The tenant signs from the email. The hook receives the signed PDF link and the application ID. Your second Zap finds the row by that ID and saves the link.

How the signed PDF gets back to Zapier

When the last person signs, the PDF link and the signer's values arrive at your Catch Hook. Your Zap does the rest.

What Catch Hook receives when signing completes, shortened.
  • Add a Filter step that continues only when signedPdfUrl exists. The same hook also receives events such as a single signature, a decline or an expiry.
  • Find the record by the ID in sourceData, which holds every value your first Zap sent. Then save the PDF link in a sheet row, a CRM record or a message to your team.
  • Prefer no second Zap? Turn on Google Drive, Dropbox or the completion email instead.

What to check in an e-signature app for Zapier

Five questions to ask before you pick one.

  • Signers from your Zap. The signer's email should be a value the Zap maps, not something you type for each document.
  • A way to act on the signed PDF. Without a signed trigger, check that the tool posts the signed PDF to a webhook you can catch.
  • Document and signature in one step. One action that fills the template and sends it saves a second app and a second Zap step.
  • Price per person or per signature. Check whether each team member needs a paid seat, and whether signing costs extra on top of the plan.
  • Proof on every PDF. A certificate and an audit trail that record who signed, when and from where.
