How to send a document for signature from Google Sheets

Set it up once. Every row you send gets its document created, signed and noted back in the row.

    Connect your sheet

    In DocsAutomator, connect Google Sheets and pick the spreadsheet and the tab, for example Offers in your hiring sheet.

    Add a signature tag to your template

    Use a Google Docs or Word template for the offer letter. Type {{esign.signature_1}} where the candidate signs. Add {{esign.text_1_startdate}} if they should type a start date.

    Choose who signs

    Turn on Signing and take the candidate's email from a column. Add a second signer, such as the hiring manager, from another column or a fixed address.

    Choose the columns that fill in

    Under After signing, pick a column for the signing link, one for the link to the signed PDF, and one for each value the signer types.

    Start it from the sheet

    Add the GENERATE DOC formula to a column and click it in a row. You can also use a menu button for the selected rows, or let new rows start it every 5 minutes.

    The candidate signs and the row fills in

    The candidate signs from the email on any device, without an account. The start date and a link to the sealed PDF appear in the row.

Using DocuSign or PandaDoc with Google Sheets

Most setups need a document from the row first, then an automation in Zapier or Make on each side.

What to check in an e-signature tool for Google Sheets

Seven questions to ask before you pick one.

  • The result lands in the row. The signing link, a link to the signed PDF and the signer's values should fill in on their own.
  • Signers come from your columns. Emails should come from the sheet, not be typed again for each document.
  • Many rows at once. Sending one document per row by hand does not scale past a handful.
  • Templates your team can edit. Google Docs, Word or PDF, so the people who own the wording keep editing it.
  • Signing and acceptance. A contract needs a signature. A quote often needs only a yes.
  • Price per person or per signature. Check whether each team member needs a paid seat, and whether signing costs extra on top of the plan.
  • Proof on every PDF. A certificate and an audit trail that record who signed, when and from where.
