The statement of work after a row is approved

A project intake sheet holds one row per project: the client, the budget, the dates and a Status column. When the status changes to your value for approved, the client needs a statement of work to agree to before the project starts.

This page covers that one job. The row fills your own template, the client accepts the document on any device, and the PDF is attached to the row it came from.

Two ways to connect Smartsheet today

The status change starts the document without a click.

  1. In DocsAutomator, create an automation with your template and turn on acceptance or signing. Set the recipient's email to a placeholder such as {{client_email}}.
  2. In Zapier, use the Smartsheet trigger "Updated Row" and choose the sheet. It is instant.
  3. Add a filter so that only rows with your approved status continue.
  4. Add the DocsAutomator action "Create Document" and map the cells to the placeholders.

A filter step needs a paid Zapier plan.

Claude
ChatGPT

Claude or ChatGPT

You ask for the document in a chat, and the assistant reads the row and sends the document.

  1. Connect the Smartsheet connector for Claude or ChatGPT, which uses the Smartsheet MCP server. Smartsheet offers it on the Business and Enterprise plans, and an admin must enable it.
  2. Connect DocsAutomator to the same assistant. The address is https://mcp.docsautomator.co/mcp.
  3. Ask: "Create the statement of work for the row Spring catalogue 2027 and send it to Ruth Adeyemi for acceptance."
  4. The assistant reads the row, fills the template and sends the document. It can then update the row and add a comment.

This route starts when you ask, not when the status changes. The Smartsheet connector attaches links, not files, so the PDF goes onto the row as a link.

When the client has accepted or signed, DocsAutomator seals the PDF, adds a certificate page with the audit trail, and sends a completion email with a link to the PDF.

DocsAutomator also sends a notification with the link to the PDF to a web address you choose. To know which row a finished document belongs to, put the row ID into the document name (for example Statement of Work {{row_id}}); the completion webhook returns that name. A second Zap receives it and uses the Smartsheet action "Add Attachment to Row" to attach the PDF to the same row. "Update Row" can set the status to a value such as Signed.

Within a single Zap you need no webhook for the generated PDF: the DocsAutomator step returns its link, so the next step can update the row from the trigger step.

Receiving that notification in Zapier needs a paid Zapier plan.

What to know before you start

Smartsheet's pricing table lists API access from the Business plan. Zapier and the AI connector both use the API, so plan for Business or higher.

Make's Smartsheet app has a trigger for new rows, "Watch Rows". We could not confirm a Make trigger for a changed status, so this page does not describe a Make route.

Smartsheet's own Document Builder fills a PDF from a row, and signing runs through a DocuSign integration on the Enterprise plan with a DocuSign account. DocsAutomator does both in one step on a price per document.

What it costs

Plans start at $19 a month billed yearly ($29 billed monthly) and include 100 documents a month. Signing and acceptance cost $0.50 per document, charged when the recipient first opens it. DocsAutomator is made for 20 or more documents a month.
