A customer accepts an estimate from the email, and QuickBooks Online changes its status to Accepted. For a small job that is enough. For a build, a fit-out or a retainer, you also want a contract with the schedule, the deposit and the terms.

This page covers that one job. The accepted estimate starts the document, the customer and the product and service lines fill your own template, and the customer accepts the contract on a phone or a computer.

QuickBooks has no contract templates. Your contract stays a Word or Google Docs file that you or your lawyer edit like any other document.

Three ways to connect QuickBooks Online today

The accepted estimate starts the contract without a click.

  1. In DocsAutomator, create an automation with your contract template and turn on acceptance. Set the recipient's email to a placeholder such as {{customer_email}}.
  2. In Zapier, use the QuickBooks Online trigger "Updated Estimate". It is instant.
  3. Add a filter so that only estimates with the status Accepted continue.
  4. Add the DocsAutomator action "Create Document" and map the customer and estimate fields to the placeholders.

QuickBooks Online is a premium app on Zapier, so the Zap needs a paid Zapier plan. There is no trigger for an accepted estimate, so the filter is required.

Make

Make

The same flow as a Make scenario.

  1. Start the scenario with the QuickBooks module "New Event" for estimates.
  2. Add "Get an Estimate", because the event carries only the ID of the estimate.
  3. Let only estimates with the status Accepted continue.
  4. Add the DocsAutomator module that creates the document and map the fields.

Make notes that QuickBooks events can arrive with a short delay.

Claude or ChatGPT

You ask for the contract in a chat, and the assistant works with the estimate and sends the document.

  1. Connect the Intuit QuickBooks connector in Claude or the QuickBooks app in ChatGPT. It needs a QuickBooks Online subscription.
  2. Connect DocsAutomator to the same assistant. The address is https://mcp.docsautomator.co/mcp.
  3. Ask: "Create the project agreement for estimate 1042 for Marlow Street Bakery and send it to Nadia Marlow for acceptance."
  4. The assistant takes the customer and the lines of the estimate, fills the template and sends the agreement.

This route starts when you ask, not when the estimate is accepted. Intuit's connector works with estimates. It lists no tool that attaches a file. Intuit also publishes a QuickBooks Online MCP server for developers, which runs on your own machine.

The accepted contract attached to the estimate

When the customer has accepted, DocsAutomator seals the PDF, adds a certificate page with the audit trail, and sends a completion email with a link to the PDF.

DocsAutomator also sends a notification with the link to the PDF to a web address you choose. To know which estimate a finished document belongs to, put the estimate ID into the document name (for example Project Agreement {{estimate_id}}); the completion webhook returns that name. A second Zap receives it and uses the QuickBooks Online action "Attach File(s) or Note" to attach the PDF to the estimate. In Make, the module is "Upload a File" with the estimate as the linked record.

Within a single Zap or scenario you need no webhook for the generated PDF: the DocsAutomator step returns its link, so the next step can update the estimate from the trigger step.

Receiving that notification in Zapier needs a paid Zapier plan.

What to know before you start

No tool has a trigger that means estimate accepted. Zapier and Make fire on every change of an estimate, and the flow filters for the status Accepted.

An estimate that a customer accepts in QuickBooks is already an agreement on the price. DocsAutomator is for the cases where you need more than that in writing.

What it costs

Plans start at $19 a month billed yearly ($29 billed monthly) and include 100 documents a month. Signing and acceptance cost $0.50 per document, charged when the recipient first opens it. DocsAutomator is made for 20 or more documents a month.
