The new subcontract starts the agreement without a click.

  1. In DocsAutomator, create an automation with your subcontract agreement and turn on signing. Set the signer's email to a placeholder such as {{subcontractor_email}}.
  2. In Zapier, use the Procore trigger "New Subcontract" and choose the company and the project. It is instant.
  3. Add the DocsAutomator action "Create Document" and map the fields of the subcontract to the placeholders.
  4. Turn the Zap on. The subcontractor gets the signing link by email.

This Zap has two steps, so it runs on a free Zapier account. The trigger is set per project, so each project needs its own Zap.

What does not exist today

We list only routes that run.

  1. Make has a community app for Procore without modules for commitments or contracts.
  2. n8n has no Procore node.
  3. Procore has no connector for Claude or ChatGPT.

When the subcontractor has signed, DocsAutomator seals the PDF, adds a certificate page with the audit trail, and sends a completion email with a link to the PDF.

DocsAutomator also sends a notification with the link to the signed PDF to a web address you choose. To know which subcontract a finished document belongs to, put the subcontract ID into the document name (for example Subcontract Agreement {{subcontract_id}}); the completion webhook returns that name. A second Zap receives it, files the PDF with the Procore action "Create Document" in a folder of the project, and uses "Update Subcontract" to set the status, the Executed box and the Signed Contract Received Date.

Within a single Zap you need no webhook for the generated PDF: the DocsAutomator step returns its link, so the next step can update the subcontract from the trigger step.

Receiving that notification in Zapier needs a paid Zapier plan.

What to know before you start

Zapier starts when a subcontract is created, in any status. There is no trigger for a status such as Approved or Out for Signature. Create the subcontract when its terms are final, or add a filter on the status at creation.

The signed PDF goes into the Documents tool. We have not confirmed that Zapier can add it to the Attachments field of the subcontract itself.

What it costs

Plans start at $19 a month billed yearly ($29 billed monthly) and include 100 documents a month. Signing and acceptance cost $0.50 per document, charged when the recipient first opens it. DocsAutomator is made for 20 or more documents a month.
