This page covers that one job. The won deal starts the document, the deal, the organization and the person fill your own template, the person gets a signing link, and the signed PDF is attached to the deal.

The template is a normal Word or Google Docs file. Your lawyer or your managing director can change the wording there without a Pipedrive seat.

Four ways to connect Pipedrive today

The won deal starts the contract without a click.

  1. In DocsAutomator, create an automation with your contract template and turn on signing. Set the signer's email to a placeholder such as {{person_email}}.
  2. In Pipedrive, save a filter that lists the deals with the status won.
  3. In Zapier, use the Pipedrive trigger "Deal Matching Filter" with that filter. It fires when a deal matches the filter for the first time.
  4. Add the DocsAutomator action "Create Document" and map the deal, organization and person fields to the placeholders.

In Pipedrive, won is a status and not a stage. The trigger "Updated Deal Stage" does not fire when a deal is won. This Zap has two steps, so it runs on a free Zapier account; the trigger checks Pipedrive at intervals. For an immediate start, use the instant trigger "Updated Deal" on the status field with a filter step, which needs a paid Zapier plan.

  1. Start the scenario with the Pipedrive CRM module "Watch Deals".
  2. Let only deals with the status won continue.
  3. Add the DocsAutomator module that creates the document and map the fields.
  4. For the way back, use "Upload a File" on the deal.
n8n

  1. Start the workflow with the Pipedrive Trigger node for deal changes.
  2. Let only deals with the status won continue.
  3. Add the DocsAutomator node with the operation Document, Create, and map the fields to the placeholders.
  4. For the way back, catch DocsAutomator's completion message with a Webhook node and use the Pipedrive node: File, "Create a file" on the deal.

The Pipedrive node and trigger work on every Pipedrive plan, because Pipedrive lists API access on all plans.

You ask for the contract in a chat, and the assistant reads the deal and sends the document.

  1. Connect the Pipedrive MCP connector. It is in Claude's connector directory and is available on every Pipedrive plan.
  2. Connect DocsAutomator to the same assistant. The address is https://mcp.docsautomator.co/mcp.
  3. Ask: "Create the maintenance contract for the Hollis Court deal and send it to Irene Walsh for signing."
  4. The assistant reads the deal, the organization, the person and the products, fills the template and starts the signing request.

This route starts when you ask, not when the deal is won. The Pipedrive MCP tools can add a note with the link to the signed PDF. They have no file tool.

When the person has signed, DocsAutomator seals the PDF, adds a certificate page with the audit trail, and sends a completion email with a link to the PDF.

DocsAutomator also sends a notification with the link to the signed PDF to a web address you choose. To know which deal a finished document belongs to, put the deal ID into the document name (for example Contract {{deal_id}}); the completion webhook returns that name. A second Zap receives it and uses the Pipedrive action "Attach File", which attaches the PDF to the deal directly. "Create Note" can pin a note to the deal, and "Update Deal" can set a field such as Contract signed.

Within a single Zap, scenario or workflow you need no webhook for the generated PDF: the DocsAutomator step returns its link, so the next step can update the deal from the trigger step.

Receiving that notification in Zapier needs a paid Zapier plan.

What to know before you start

Pipedrive has no trigger that means deal won. Every route watches the deal and filters for the status won. If you want the contract before the deal is won, trigger on a stage such as Contract with "Updated Deal Stage".

Pipedrive has its own Smart Docs with eSignatures on the Premium and Ultimate plans, and as an add-on on the other plans. DocsAutomator is for teams that want their own Word or Google Docs template, a price per document and the same flow on every plan.

What it costs

Plans start at $19 a month billed yearly ($29 billed monthly) and include 100 documents a month. Signing and acceptance cost $0.50 per document, charged when the recipient first opens it. DocsAutomator is made for 20 or more documents a month.
