The engagement letter for every new matter

A new matter is created in Clio Manage with the status Open. Before work starts, the client has to sign the engagement letter with the scope, the hourly rate and the retainer.

This page covers that one job. The new matter starts the letter, the matter and contact fields fill your firm's own Word template, the client signs on any device, and the signed PDF is uploaded to the documents of the matter.

The letter stays a Word file. The partner who owns the wording edits it in Word, and the merge fields are plain placeholders in double curly brackets.

Two ways to connect Clio Manage today

The new matter starts the engagement letter without a click.

  1. In DocsAutomator, create an automation with your engagement letter and turn on signing. Set the signer's email to a placeholder such as {{client_email}}.
  2. In Zapier, use the Clio trigger "New Matter". Use "Matter Status Updated" if you create matters as Pending and open them later.
  3. Add a filter, for example on the practice area, so that only the matters that need this letter continue.
  4. Add the DocsAutomator action "Create Document" and map the matter and contact fields to the placeholders.

Without the filter, the Zap has two steps and runs on a free Zapier account; a filter step needs a paid Zapier plan. The Clio triggers check Clio at intervals, so the letter starts some minutes after the matter is created. Zapier connects to Clio Manage, not to Clio Grow.

Make

The same flow as a Make scenario.

  1. Start the scenario with the Clio Manage module "Watch Matters".
  2. Let only new matters with the status Open continue.
  3. Add the DocsAutomator module that creates the document and map the fields.
  4. For the way back, use "Upload Document" on the matter and "Create a Note" for the signing date.

The Make connection needs a registered Clio developer application with a client ID and a client secret.

The signed letter in the matter's documents

When the client has signed, DocsAutomator seals the PDF, adds a certificate page with the audit trail, and sends a completion email with a link to the PDF.

DocsAutomator also sends a notification with the link to the signed PDF to a web address you choose. To know which matter a finished document belongs to, put the matter ID into the document name (for example Engagement Letter {{matter_id}}); the completion webhook returns that name. A second Zap receives it and uses the Clio action "Upload Document to Matter". "Create Matter Note" can record the date of the signature.

Within a single Zap or scenario you need no webhook for the generated PDF: the DocsAutomator step returns its link, so the next step can update the matter from the trigger step.

Receiving that notification in Zapier needs a paid Zapier plan.

What to know before you start

Clio has no official connector for Claude or ChatGPT, so there is no AI assistant route for Clio today. Zapier and Make are the routes.

"New Matter" fires for every new matter in the firm and at the moment the matter is created. Enter the fee terms when you create the matter, or trigger on the status change instead.

Clio Manage has its own document templates and e-signatures, with a monthly number of signatures on the lower plans. DocsAutomator has no monthly number: each letter costs the same.

What it costs

Plans start at $19 a month billed yearly ($29 billed monthly) and include 100 documents a month. Signing and acceptance cost $0.50 per document, charged when the recipient first opens it. DocsAutomator is made for 20 or more documents a month.
