Four ways to connect BambooHR today
Works through Zapier, Make, n8n or your AI assistant
Zapier
Each new employee record starts the contract without a click.
- In DocsAutomator, create an automation with your contract template and turn on signing. Set the signer's email to a placeholder such as {{home_email}}.
- In Zapier, use the BambooHR trigger "New Employee".
- Add the DocsAutomator action "Create Document" and map the employee fields to the placeholders.
- Turn the Zap on. The new hire gets the link by email and signs.
BambooHR is a premium app on Zapier, so this Zap needs a paid Zapier plan. "New Employee" checks BambooHR at intervals, so the contract starts at the next check.
Make
The same flow as a Make scenario.
- Start the scenario with the BambooHR module "Watch Employees".
- Add the DocsAutomator module that creates the document and map the employee fields to the placeholders.
- For the way back, add "Upload an Employee File".
Make connects to BambooHR with OAuth and your BambooHR subdomain.
n8n
The same flow as an n8n workflow, started by a BambooHR webhook.
- n8n has no BambooHR trigger node. In BambooHR, create a webhook for the employee.created event and give it the address of an n8n Webhook node.
- The event carries only the company and employee IDs. Read the record with the BambooHR node: Employee, Get.
- Add the DocsAutomator node with the operation Document, Create, and map the fields to the placeholders.
- For the way back, use the BambooHR node: Employee Document, Upload.
BambooHR sends webhooks only to HTTPS addresses.
Claude
You ask for the contract in a chat, and Claude reads the employee record and sends the document.
- A BambooHR admin turns on the AI Connectors app and chooses who may connect. Then add the BambooHR Claude Connector in Claude.
- Connect DocsAutomator to Claude from the Claude directory.
- Ask: "Create the employment agreement for Marisol Vega and send it to her home email for signing."
- Claude reads the record, fills the template and starts the signing request.
BambooHR's AI connectors can't upload files, so the signed PDF reaches BambooHR through one of the other routes.
The signed contract in the employee's files
When the new hire has signed, DocsAutomator seals the PDF, adds a certificate page with the audit trail, and sends a completion email with a link to the PDF.
DocsAutomator also sends a notification with the link to the signed PDF to a web address you choose. Put the employee ID in the document name (for example Employment contract {{employee_id}}), so the notification tells you whose contract it is. From there, a second Zap with "Upload Employee File" or a Make scenario with "Upload an Employee File" puts the PDF in that employee's files.
Receiving that notification in Zapier needs a paid Zapier plan. Zapier's and Make's upload steps don't let you choose a file section, so check where the first file lands. With the BambooHR API, you choose the section yourself.
What to know before you start
The contract starts after the hire, when the employee record exists. If HR adds the pay rate or the manager later, start from "Updated Employee" instead. That trigger is instant and fires when a field you pick changes.
Send the contract to an address the new hire already reads. A work email often doesn't exist yet on the day the record is created, so map a personal email field such as Home Email.
One record makes one contract. If you add the same person twice, they get two contracts.
