The agreement when the task lands in Approved

On an Asana board, the sections are the stages. When someone drags a client project's task from In review to Approved, that move is your signal the work is agreed, and Zapier can start from it.

Now the client needs the agreement, and what goes in it (the fee, the start date, the deliverables) already sits in the task's custom fields. We fill your own Word or Google Docs template with those fields and send the client a link to sign or accept it.

Asana keeps track of the work. We make the document, collect the signature and put the signed PDF back on the task.

Three ways to connect Asana today

Works through Zapier, Make or your AI assistant

Zapier

Zapier

The move to Approved starts the agreement the moment it happens.

  1. In DocsAutomator, create an automation with your agreement template and turn on signing or acceptance. Set the signer's email to a placeholder such as {{client_email}}.
  2. In Zapier, use the Asana trigger "Task Moved to Section" and pick the workspace, the project and the Approved section. It's instant.
  3. Add the DocsAutomator action "Create Document" and map the task's custom fields to the placeholders.
  4. Turn the Zap on. The client gets the link by email and signs.

The trigger already picks the section, so you don't need a filter. Asana isn't a premium app on Zapier, so these two steps run on a free Zapier account.

Make

Make

The same flow as a Make scenario, started when the task is marked complete.

  1. Start the scenario with the Asana module "Watch Completed Tasks" and pick the project.
  2. Add the DocsAutomator module that creates the document and map the custom fields to the placeholders.
  3. For the way back, add "Upload an Attachment" to put the PDF on the task.

Make has no Asana module for a task that moves to a section, so mark the task complete when the work is approved.

Claude
ChatGPT

Claude or ChatGPT

You ask for the agreement in a chat, and the assistant reads the task and sends the document.

  1. Connect Asana's MCP server to Claude or ChatGPT. Both are on Asana's list of supported clients, and you sign in with your Asana account.
  2. Add DocsAutomator to that same assistant: from the Claude directory in Claude, or from ChatGPT Plugins in ChatGPT.
  3. Ask: "Create the client services agreement for the Harbor & Pine task and send it to the client email for signing."
  4. The assistant reads the task and its custom fields, fills the template and starts the signing request. It can then add a comment with the link to the task.

Asana's MCP server can read tasks and write comments, but it can't attach files.

Where the signed agreement goes

When the client has signed, DocsAutomator seals the PDF, adds a certificate page with the audit trail, and sends a completion email with a link to the PDF. It can also save the PDF to a Google Drive folder.

DocsAutomator also sends a notification with the link to the signed PDF to a web address you choose. Name each agreement after its task, like Agreement {{task_id}}, and the notification tells a second Zap which task to update. That Zap can post the link with "Create Comment/Story" or put the PDF on the task with "Attach File". Try the attachment once with a real PDF before you count on it. In Make, "Upload an Attachment" does it.

Receiving that notification in Zapier needs a paid Zapier plan.

What to know before you start

The agreement can only use what the task holds. Custom fields need Asana's Starter plan or higher. On the free Personal plan there are no custom fields, so the client and fee would have to sit in the task name or description.

One move makes one agreement. If someone drags the task out of Approved and back in, the Zap starts a second one.

Zapier has no trigger for a changed custom field. If the agreement should start when a field such as Status changes, start from "Updated Task" and add a filter on that field. A filter step needs a paid Zapier plan.

What it costs

Plans start at $19 a month billed yearly ($29 billed monthly) and include 100 documents a month. E-signing and acceptance are included in every plan. See pricing for the details. DocsAutomator is made for 20 or more documents a month.

I haven't used a ton of them document generators. The built-in one in SmartSuite is painful to use. I've tried to integrate Adobe but sheesh... Then you showed up in Glide and I thought I'd give it a try.

If you use automated document creation, this is an amazing app. We've used several others, and this blows the others away in: ease of creation of the automations, speed of execution, and responsiveness of the staff. Couldn't be happier.
